Every distinction begins with one topic at a time.- start now
The finished example on the question paper is your answer key: match it detail for detail and the marks are already yours.- the whole approach to Paper 1
This is the half of the subject that rewards a steady hand, not a clever idea. There is no formula to derive: there is a finished page to copy exactly, one button-path per instruction, and a separate mark waiting behind almost every step you get right. Work slowly, tick off each instruction, and save with the exact file name you were given.
What you must be able to do
Apply heading styles and build an automatic, updateable table of contents from them
Insert captions, footnotes, endnotes, citations and a bibliography, and cross-reference a bookmarked target
Use Track Changes, tell the "No Markup" view apart from Accept or Reject, and manage comments
Insert the correct break (page versus section) and control headers, orientation and numbering per section
Bring in outside data as a linked (updateable) or an embedded object, and run a mail merge that includes a rule
Modify a style, build and protect a Developer form, and finish a document (Inspect, then Save As PDF or template)
Key definitions
📖 KEY DEFINITIONTable of contents (TOC): an automatic, updateable list that Word builds from the heading styles applied in the document. It reads the styles, not the way the text looks, which is exactly why a title has to carry a real Heading style before it can ever appear in the list.
📖 KEY DEFINITIONSection break: a divider that lets the page setup differ on either side of it. Headers and footers, page orientation, columns, margins and page numbering can only change from one section to the next, so anything that must differ partway through a document forces a section break, never a plain page break.
📖 KEY DEFINITIONMail merge: a process that joins one main document to a data source of many records and produces one personalised copy per record, so a single letter layout becomes hundreds of individually addressed letters.
⭐ EXAM FAVOURITE
Almost every Word question hands you a picture of the finished page and says make your document look exactly like the example. Marks are awarded per step, not for a rough resemblance: one instruction can carry a mark for choosing the right feature, a mark for the right option inside it, and a mark for the correct result. Match the example detail for detail (the exact caption wording, which heading levels show in the contents, which header sits on which page) and claim every separate mark on offer.
Referencing: the References tab
Everything on this tab is automatic and updateable, and every feature quietly depends on the heading styles underneath the document. Build the styles first and the rest falls into place; skip them and several answers break at once.
Feature
How you build it
What earns the mark
Table of contents
Apply Heading 1/2/3 to your headings, then References, Table of Contents, choose an automatic style. Refresh with Update Field, Update entire table.
It reads the heading styles; set "Show levels" to limit the depth (for example a contents of Heading 1 only).
Caption
Select the image or table, References, Insert Caption, pick the label (Figure, Table) and whether it sits above or below.
Auto-numbers as Figure 1, Figure 2 and so on; deleting one captioned figure renumbers the rest.
Footnote / endnote
Click where the reference mark goes, References, Insert Footnote (foot of the page) or Insert Endnote (end of the document).
A footnote sits on the same page; an endnote gathers at the very end; both auto-number as superscripts.
Citation + bibliography
Set a referencing Style, Insert Citation, Add New Source (author, title, year), then References, Bibliography.
The Style setting controls how both the in-text citation and the reference list are formatted.
Cross-reference
Insert, Cross-reference, choose the Reference type (Heading, Figure, Bookmark) and what to insert (page number, heading text), and tick Insert as hyperlink.
Auto-updates on F9; used for a "see Figure 3 on page 6" that never goes stale.
Bookmark + hyperlink
Select the target text, Insert, Bookmark, give it a name with no spaces. Then select the link text, Insert, Link, Place in This Document, pick the bookmark.
The bookmark is the invisible target; the hyperlink is the clickable jump to it.
🔥 FREQUENTLY TESTED
The References tab is examined almost every sitting as a bundle: apply the heading styles, insert an automatic table of contents, caption a figure, drop in a footnote, and finish with a cross-reference that points to a bookmark. Because they all read the same underlying styles and fields, a single skipped style silently breaks several answers, so treat "apply the styles" as step zero of the whole question.
⚠️ COMMON MISTAKE
Building a contents page or a caption by typing and formatting the text by hand instead of inserting the real feature. A hand-typed contents list never updates, and a hand-typed "Figure 1" never renumbers when a figure is added or removed. If the instruction says "insert an automatic table of contents" or "insert a caption", a typed imitation scores nothing even when it looks identical on the page.
Reviewing: tracking, viewing and commenting
Feature
How
The point
Track Changes
Review, Track Changes (toggle on). Edits appear as coloured insertions and deletions.
Records who changed what; leave it on and your own corrections get tracked too.
Display for Review
The dropdown: All Markup, Simple Markup, No Markup, Original.
Changes the view only. No Markup hides the edits so the page looks clean, but they are still in the file.
Accept / Reject
Review, Accept or Reject (this one, all shown, or all in the document).
The action that permanently keeps or discards a change; the tracked marks then disappear.
Show Markup
Tick Comments, Insertions and Deletions, Formatting, or specific reviewers.
Used for "show only the comments and formatting" style instructions.
Comment
Select text, New Comment, type. Reply, Resolve or Delete from the comment.
A note in the margin, and NOT a tracked change: deleting a comment is not the same as rejecting an edit.
⚠️ COMMON MISTAKE
Treating No Markup as though it accepted the changes. No Markup is only a view: it hides the coloured edits so the document looks final, but every tracked change is still stored and returns the moment the view is switched back. Accept All Changes is the action that actually applies them. Read the verb in the question: "display" or "show" means change the view, while "accept" or "reject" means change the document itself.
Pagination and sections
Page break (Ctrl+Enter): pushes the following content onto a new page within the same section.
Section break, Next Page: starts a new section on a new page, needed whenever a page must be landscape or carry a different header.
Section break, Continuous: starts a new section on the same page, used to change the number of columns partway down a page.
Why sections matter: headers and footers, orientation, columns, margins and page numbering can only differ between sections, so each of these changes needs a section boundary around it.
Link to Previous: switched on by default, it copies the previous section's header or footer. Switch it off to give a section (for example the last page only) its own header or footer content, such as a file path.
Header options: Different First Page (a cover with its own header), Different Odd and Even Pages; insert a page number, date, file name or file path through Quick Parts, Field.
Paragraph, Line and Page Breaks tab:Widow/Orphan control stops a single line being stranded alone on a page; Keep with next glues a heading to the paragraph below it; Keep lines together never splits one paragraph across two pages; Page break before always starts a paragraph on a fresh page.
⚠️ COMMON MISTAKE
Two pagination traps cost marks every year. First, using a page break where a section break was required: a landscape page or a different header only works across a section boundary, so a page break alone cannot produce them. Second, forgetting to switch Link to Previous off: because it copies the previous section's header, a footer meant for the last page keeps appearing on every page until you unlink that section.
Bringing in outside data: linked versus embedded
Data from Excel or another file can be pasted through Home, Paste, Paste Special. The one choice that carries the mark is whether the object stays connected to its source.
Question
Linked object (Paste Link)
Embedded object
Updates when the source changes?
Yes, automatically
No, it is a frozen copy
What is actually stored?
A live link to the source file
A full copy kept inside the document
Use it when
The chart or table must always show the latest figures
The document must stand alone with no source file attached
The classic trap: embedding a chart when the question asked for a linked, updateable object (or the reverse). The same choice appears when importing delimited text: pick the correct delimiter or every value lands in a single column.
Mail merge
Three ingredients only: a main document (the letter, label or directory), a data source (the recipient list, which may be an Excel sheet, a Word table or an Access table), and merge fields (the placeholders such as «Name»). Build them in this order:
Start Mail Merge, and pick the type: Letters, Email, Labels or Directory (a directory lists every record on one page with no page break between them).
Select Recipients, Use an Existing List, then choose the spreadsheet, table or database.
Edit Recipient List to sort, filter, or untick who receives it.
Insert Merge Field at each placeholder (type a space or comma between two adjacent fields), and use Match Fields if the column names differ.
Add Rules: If-Then-Else for wording that changes per record, and Next Record to move a label sheet or directory on to the following person.
Preview Results to step through the real records.
Finish and Merge, Edit Individual Documents, to create the finished personalised file.
⚡ MUST MEMORISE
Mail merge has exactly three ingredients: main document, data source, merge fields. Lock in two rules: put a space or comma between two adjacent fields or the values print joined together, and use Next Record to advance a label or directory to the next person. An If-Then-Else rule prints different wording per record, for example "Dear Sir" or "Dear Madam" chosen from a Title field.
Worked example: cycling-club renewal letters
A club posts a renewal letter to every member. The data source is an Excel sheet with the columns MemberName, Category and FeeDue, one row per member.
Main document: the fixed letter wording plus placeholders. The greeting reads "Dear «MemberName»," (note the space before the field is typed by you).
Body: "Your «Category» membership is due for renewal. The amount payable is R«FeeDue»."
Rule: an If-Then-Else that adds the sentence "A junior discount has been applied to your fee." only when «Category» equals "Junior".
Finish: Preview Results to check a real member, then Finish and Merge to build the letters. Save both the setup document and the finished merged letters under the exact names asked for; handing in the wrong one of the two loses the mark.
Styles, forms, automation and file management
Modify a style: right-click the style, Modify, and change it once. Every paragraph using that style updates together, which beats reformatting each heading by hand and is far harder to get inconsistent.
Developer form fields (Developer tab, Legacy Tools): insert a Text, Check Box or Drop-Down form field, then double-click for Properties. Set the Type (Regular text, Number, Date, Current date), a Text format such as Uppercase or Title case, a Maximum length to cap the digits, and a date Format where needed.
Restrict Editing: Developer, Restrict Editing, "Allow only this type of editing: Filling in forms", then Yes, Start Enforcing Protection, so users can only type inside the fields and not alter the rest.
Automation: Quick Parts and Building Blocks store reusable content; Fields (page number, date, FileName, file path) update on F9; a simple recorded macro repeats a set of steps.
File management: Inspect Document (the Document Inspector strips hidden metadata such as author name and comments), Mark as Final (a read-only hint), Save As PDF (a fixed, non-editable format), and Save As Template (.dotx) so that opening it creates a fresh copy each time.
Worked example: a holiday-club sign-up form
A form must capture a surname in capitals, a 10-digit cell number, and today's date, and then be locked so users can only fill it in.
Surname: a Text form field, Properties, Text format set to Uppercase, so "mokoena" is stored as "MOKOENA" without the user retyping it.
Cell number: a Text form field, Properties, Maximum length set to 10, which blocks an eleventh digit.
Date: a Text form field, Type set to Current date, so the field fills itself with today's date.
Lock it: Restrict Editing, Filling in forms, Start Enforcing Protection. Without this last step the "fields" are just ordinary editable text and the protection mark is lost.
💡 EASY MARK
The standing exam instructions are free marks. Insert your examination number in the header or footer of every document, and save with the exact file name you were given. Learners routinely drop these easy marks by leaving the header blank or renaming the file. One correct header entry and one correct save can be worth as much as a whole formula elsewhere.
IN THE THEORY PAPER (P2 Q8)
Every skill on this page is also examined as theory in Paper 2, Question 8 (Solution Development). There you do not click the buttons, you explain them in words: what a section break is for, why a table of contents needs heading styles, the difference between a linked and an embedded object, or the three ingredients of a mail merge. Learn each practical step well enough to describe why it works, not only to perform it.
Connections to other topics: a mail-merge data source is very often an Excel sheet or an Access table, so this section leans directly on Spreadsheets and Databases; and "Save As PDF" is the same finishing step you meet again when exporting an Access report. Learn the data handling once and it pays off across three of the four practical questions.
You want a title to appear automatically in the table of contents. What must you do to it?(2)
You must produce a clean-looking printout that shows none of the tracked edits, WITHOUT removing them from the file. What do you set?(2)
A portrait report needs ONE page in the middle turned to landscape. What must be inserted around that page?(2)
You added a file path to the footer of the last section, but it shows on every page. What was most likely left undone?(2)
In a mail merge you place «FirstName»«Surname» with nothing typed between them. What prints?(2)
Which single action recolours EVERY Heading 2 in the document at once?(2)
Explain the difference between setting "Display for Review" to No Markup and choosing Accept All Changes.(4)
A school posts the same reminder letter to 400 parents, each addressed by name with the child's class inserted in the body. Name the THREE ingredients a mail merge needs and describe the job of each.(6)
Explain to a Grade 8: why does applying a "Heading 1 style" to your titles let Word build a contents page by itself, when just making the text big and bold does not?
ONE-MINUTE SUMMARY
Word Processing is procedural: copy the given example exactly and collect a mark per step. The References tab (contents, captions, footnotes, citations, cross-references, bookmarks) is one connected system that all reads the heading styles, so style the headings first. In Reviewing, No Markup only hides tracked edits while Accept or Reject changes the document. Pagination differences (headers, orientation, columns, numbering) need section breaks, and Link to Previous must be switched off to give one section its own header. Mail merge joins a main document to a data source through merge fields, with a space between adjacent fields and rules such as If-Then-Else and Next Record. Finish by modifying styles, protecting Developer forms, and saving as PDF or a template after inspecting the document.
IN THE EXAM
Word Processing is the largest slice of Paper 1, spread across two dedicated questions plus a share of the integration question, and it is examined hands-on at the computer.
Almost every task is "make it look exactly like the example": marks are per step, so match the caption wording, the contents levels and the header placement precisely rather than approximately.
The References tab and mail merge appear nearly every sitting; a single skipped heading style or a missing space between merge fields quietly costs several marks at once.
The same features return as written theory in Paper 2, Question 8 (Solution Development), where you explain the feature instead of performing it, so learn the reason behind each step.
Claim the standing easy marks every time: examination number in the header or footer, and the exact file name on save.
